The role

IVISYS is now looking for a dedicated Executive Assistant to our CEO Stefan Bohman who will be a part of our vibrant team. You will be working with the CEO handling all scheduling, travel, visas, and preparing presentations and other administrative tasks.

The position will also act as office manager for the office and be available to the rest of the organization regarding administrative relief.

As an Executive Assistant, your key responsibilities will be

  • Manage and maintain the CEO’s schedule and meetings, including prioritizing inquiries and managing conflicting requirements
  • Manage travel arrangements for the CEO and key people
  • Prepare and coordinate meetings, as well as product presentation material
  • Keep minutes and actions at meetings
  • Receive and interact with incoming visitors, including customers
  • Manage expenses and procurement inquiries on behalf of the CEO
  • Make sure that the CEO has all the materials and the preparations required for critical meetings
  • Schedule all quarterly reviews with live reports to ensure they are completed on time by the deadline

Essential skills and preferred experiences

  • At least 3 – 5 years of experience as an Executive Assistant or similar role
