About the role

As a HR Contract Portfolio Manager you will be part of a global team that will facilitate and support the HR organization to deliver on strategic intent and operational targets. You will maintain provider/supplier contracts, safeguard contract compliance and coordinate tenders (from a business perspective). You will also contribute to the overall HR performance management by securing general processes for compliance topics within the organization. 

Main tasks and responsibilities

The HR Contract Portfolio Manager will own the HR Contract Master File and work together with the Procurement team to secure execution of all relevant steps in the lifecycle of our supplier contracts. You will be the first point of contact within HR for questions regarding contract management and act as a partner to managers by facilitating efficient governance structure and by leading and supporting activities in relation to our suppliers. In addition you will also be responsible for the coordination of compliance topics for both suppliers and internal processes.

As HR Contract Portfolio Manager you are part of the Operational Excellence team and report to the Director of Operational Excellence. The Operational Excellence team is a small team of experts operating across our different countries. You can expect to be especially engaged in our operations in Sweden, Germany and the Netherlands.

Key deliverables and activities

  • Ensure qualitative and compliant provider/supplier contract management during the lifecycle of supplier contracts, including KPI reporting and facilitation of governance structures and forums where applicable
  • Compile annual plan of upcoming tenders, renegotiation and exits within HR and feed relevant topics into business plan process for HR
  • Manage the HR Contract Master File and safeguard that it is properly managed and continuously updated, including storage of signed contracts.
  • Support business stakeholder to identify, manage and report on risk- and compliance issues
  • Mange the audit process for HR including coordination of all activities related to internal- and external audits
  • Secure appropriate and compliant document management structures within the organisation
  • Being a trusted partner to the managers within HR through leading and coaching activities and securing a holistic view and overall value for the HR-organisation.
  • Be the first point of contact to Vattenfall Procurement and to internal audit and compliance stakeholders.

Your characteristics and qualifications

  • A Bachelor’s degree within a relevant field
  • Fluency in English, both written and spoken
  • Experience from compliance topics preferably including managing and maintaining contractual agreements with suppliers
  • Skills in usage of Microsoft applications, especially MS Excel and Sharepoint will be highly beneficial for the position
  • Experience in working with HR services and developing processes and structures will be considered a merit as well
