Office Manager

The Office Manager is based in the Nordic office in Frösundavik, Stockholm. As part of the team you will be reporting to the CFO, and a very close collaboration with the Nordic Management Team. A very dynamic role which covers admin, logistic, marketing, regulatory and office management.

Key responsibilities:

  • Office Administration: Handling goods, filing, daily post, reception duties
  • Office procurement: Management of various external contracts such as insurance, IT, company cars, office suppliers
  • Field Staff Support: Manage all related support of congress and events, manage distribution of rep’s support materials
  • Nordic Management support: Manage and support Nordic events, internal conference, support Management team with administrative tasks
  • Support HR and legal functions: Filling necessary documentation in line with government rules, manage our HR platform, support GDPR
  • Liaison with our Regulatory team, archiving of complaints and follow up of signatory process for SOPs.
  • Marketing team: support with administrative tasks
  • Support Finance team:  daily supportive tasks

 Requirements:

  • Education: Degree in Business Management or equivalent desirable but not essential.
  • Good communication skills and interpersonal skills.
  • Organized, disciplined, focus with and ability to priorities.
  • Strong attention to detail with excellent administration skills.
  • Experience in finance would be an advantage.
  • Experience in organizing and coordinate events, sales meetings, congresses, symposia.
  • Excellent computer skills: Word, Excel, PowerPoint at a minimum.
  • Fluent in Swedish, more than one Nordic language favorable.
  • Excellent language skills: English, spoken and written.
